Presentation Guidelines

Everybody needs to start his or her presentation with disclosure slides (please find sample slides here), addressing all actual, potential or possible conflict of interests.


A) Podium Presentation: Oral Presentation (OP), Case Reports Presentation (CP) and Nurses Poster with Presentation (PP)

The quality of the meeting is extremely dependent on the way you present your work.

The ESPU scientific Committee would like to remind you of a few key points

  • Oral Presentation (OP) at Doctors' meeting: 3 minutes oral presentation
  • Case Reports Presentation (CP) at Doctors' meeting: 2 minutes oral presentation followed by 2 minutes of discussion
     
  • Oral Presentation (OP) at Nurses' meeting: 6 minutes oral presentation followed by 4 minutes of discussion
  • Posters with Presentation (PP) at Nurses' meeting: 3 minutes oral presentation followed by 4 minutes of discussion

GENERAL INSTRUCTIONS

  • Please be present in the session room 15 minutes prior to the start of the session. An abstract presenter must attend the whole session in which he/she is scheduled.
  • A maximum set of 6 slides (PowerPoint only) may be projected.
  • Slides should be handed in at the Speakers‘ Service Centre at least 2 hours prior to the session.

Short explanation on abstract sessions

During the session an author present his or her slides followed by interactive discussion with the audience.
Please note that moderators will be very strict with the time of presentations.
Since we consider time for discussion as essential, you will be asked to conclude when your time is out. Abstracts will be presented in groups, then the discussion takes place with the presenters at the podium.

Equipment supplied

  • Computer with Power Point for computerized slide presentation, no more than 6 slides are allowed!
  • Laser pointer
  • Microphone
  • There will be no ordinary slide projectors just computerized slide presentation!

Guidelines on how to prepare PowerPoint presentation slides

  • PowerPoint versions accepted are from 2000 to 2019/365.
  • Hand in your PowerPoint presentation preferably USB-Drive (USB-Stick) at least 2 hours prior to the start of the session at the Speakers‘ Service Centre. A technician will incorporate your presentation on the computer network that is used for the PowerPoint presentations in the different meeting rooms. A technician in the lecture room will start your presentation.
  • Your presentation can be loaded on to the network without problems when it does not exceed 15 MB: much larger files may cause problems!
  • Accepted Fonts are the standard Windows fonts. If you use a non-standard (e.g. scientific symbols) font with your presentation, you should supply this non-standard font separately with your presentation. For a normal projection, the font size 24 is sufficient.
  • Use computer screen resolution of 1920x1080 pixels possible.
  • Format your presentation in 16:9 ratio – adjust the ‘Page Setup’ menu – in PowerPoint 2007/2019, select the 16:9 slide preset, or in PowerPoint 2003 or earlier, enter a custom size of 27.9 cm by 15.7 cm (11 inches by 6.1875 inches).
  • Use embedded pictures, DO NOT use files linked to other files. Linked files may not show up in your presentation when displayed during the event!
  • No more than 6 slides are allowed.

How to determine the legibility of the text

For a 17-inch screen, stand 2 meters away. If you can see your presentation (slide + test) clearly (presentation 100% image) there shouldn't be problems seeing this presentation in a lecture room.
If you use a font size of 24, your test is readable at the back of the room.
Example: On a screen of 3.00 x 2.00m, you can read the 24-font size at a distance of 20m. If you use a bolder text, the legibility will improve.

Don't forget!

  • Always make sure you bring a back up of your presentation!
  • All presenters must register to the meeting.

 


B) Podium presentation: Video Presentations (VP)

The quality of the meeting is extremely dependent on how you present your work, and the ESPU Scientific Committee would like to remind you of a few key points:

  • Do not give too long an introduction
  • Do not exceed the time limits: 5 minutes for presentation, 3 minutes discussion
  • Hand in your presentation at least 2 hours prior to the session at the Speakers‘ Service Centre
  • This year we will be very strict with the time of presentations (5 min for video).

Since we consider time for discussion as essential, you will be asked to conclude when your time is out. Selected videos will be presented during a podium session, and then the discussion takes place with the presenter at the podium.

Instructions

Date, time and place are listed on the enclosed letter. Please be present in the room 15 minutes prior to the start of the session. An abstract presenting author must attend the whole session in which he/she is scheduled.
Videos should be handed in at the Speakers‘ Service Centre at least 2 hours prior to the session!

Guidelines on how to prepare Videos

Hand in your Video presentation on CD-ROM, DVD or preferably USB-Drive (USB-Stick) at least 2 hours prior to the start of the session at the Speakers‘ Service Centre a technician will incorporate your presentation on the computer network that is used for the Video presentations in the different meeting rooms. A technician in the lecture room will start your presentation.

Video files are allowed in the following formats

  • MP4 (prefered)
  • MKV
  • MPEG
  • AVI
  • WMV
  • MOV

If possible use a 16:9 resolution of 1920x1080 pixels (HD 1080i).

Don't forget!

  • Always make sure you bring a back up of your presentation!
  • All presenters must register to the meeting.
     

C) Video Displayed (VD) without Presentation and e-Poster Displayed (PD) without Presentation

Videos and posters will be available for individual viewing during the whole congress via the mobile app and on ESPU website.
Please note: There will be no TV screens or computers at the congress to view the e-posters and videos.

Video files

You don't need to send again your video. We will use the one you submited along with your abstract.

e-Posters

All authors with abstracts accepted as a "Poster without presentation (doctors)" or a "Poster with presentation (nurses)" are requested to use their "abstract submitter" account to connect to https://www.espu.org/olas/index.php?mid=18 and upload their e-Poster as PDF files  from April 1st, 2022.

The deadline to submit your e-Poster PDF file is May 15th, 2022 at 23:59 (Paris time zone). After this date, it will be too late for us to copy your file on the USB stick handed other at the meeting. However, your e-Poster will be available through the mobile app and on the web site.

Please do not hesitate to use this poster template to create your e-Poster with PowerPoint, then save the final document as a PDF.
The file format to send us your file is only a single page PDF (max file size 6MB) with 16/9 or a 4/3 size ratio.
Also, make sure that text & figures can be legible on a tablet/laptop screen without the need to zoom a lot.

Please note:

  • There will be no display of paper posters.
  • There will be no TV screens or computers at the congress to view the e-posters. The only way to look at the e-Posters and videos will be to use your computer, tablet or the mobile app on your smartphone.
  • Nurses: The e-Poster file is not the same as the slides that you will show during your presentation on stage.
